Information we collect
We collect only what we need to run the website, answer inquiries, and fulfill orders. We do not sell personal information, and we have never done so.
- Information you give us. When you submit the contact form we collect your name, email address, company name if you provide one, and the content of your message. When you email us directly we receive whatever your message contains.
- Order and account information. When checkout is live and you place an order, we collect the details required to fulfill it: name, email, shipping address, billing address, phone number if provided, items ordered, and order notes. If you create an account we also store a hashed password and your order history.
- Payment information. Payments are processed by a third-party payment processor. We do not store full card numbers or CVV codes on our servers. We receive a token, the last four digits, the card brand, and a payment status so we can match the charge to the order.
- Technical information. Our hosting provider records standard server log data, including IP address, browser type, device type, referring page, pages requested and timestamps. This is used for security, fraud prevention and diagnosing faults.
- Correspondence records. We keep a record of inquiries, support messages, and order correspondence so we can maintain continuity and meet our legal and accounting obligations.
We do not knowingly collect special category data such as health information, biometric data or political opinions. Please do not include such information in inquiry or checkout forms.
How we use information
- To respond to inquiries and provide the information you requested.
- To process, fulfill, ship, and support orders, including returns and refunds.
- To send transactional messages such as order confirmations, shipping updates, and replies to support requests.
- To issue invoices, take payment and maintain accounting records.
- To detect, investigate and prevent fraud, abuse and security incidents.
- To operate, secure, monitor and improve this website.
- To comply with legal, tax, accounting and regulatory obligations.
- To establish, exercise or defend legal claims where necessary.
We do not use personal information for automated decision making that produces legal or similarly significant effects. We do not send marketing email unless you have asked for it, and you can unsubscribe at any time.
Legal bases for processing
Where the General Data Protection Regulation or the UK GDPR applies to our processing, we rely on the following legal bases.
- Contract
- To take steps at your request before a purchase, and to perform a sale once an order is placed: payment, fulfillment, shipping, returns and support.
- Legitimate interests
- To respond to business inquiries, keep our website secure, maintain business records and protect the company against fraud and legal claims. We balance these interests against your rights and freedoms.
- Legal obligation
- To meet tax, accounting, consumer, and other statutory record keeping requirements.
- Consent
- Where we ask for it specifically, for example if you opt in to receive product announcements. You can withdraw consent at any time.
International transfers
We are established in Wyoming, USA and our service providers may process information in the United States and other countries. Where personal information is transferred out of the European Economic Area, the United Kingdom or Switzerland, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses, together with supplementary technical and organizational measures where required.
You may request a copy of the safeguards we rely on by writing to support@sovereign-noir.com.
How long we keep information
- Website inquiries
- Up to 24 months from the last contact, unless the inquiry becomes an order or you ask us to delete it sooner.
- Order records
- For the duration of the customer relationship and for 7 years afterwards, to meet tax, accounting, warranty and consumer record keeping obligations.
- Payment records
- For the period required by applicable tax and accounting law, generally 7 years.
- Server logs
- Typically 30 to 90 days, depending on our hosting provider's settings.
When a retention period ends we delete the information or irreversibly anonymize it.
Security
We apply technical and organizational measures appropriate to the sensitivity of the information we hold. These include encryption of data in transit over TLS, access controls limited to those who need the information, multi-factor authentication on business systems, and periodic review of our providers. Card payments are handled by a PCI DSS compliant processor.
No method of transmission or storage is completely secure. If we become aware of a personal data breach that is likely to result in a risk to your rights, we will notify you and any competent supervisory authority as required by applicable law.
Your rights
Depending on where you live, you may have some or all of the following rights in relation to your personal information.
- Access. Request confirmation of whether we process your information and a copy of it.
- Correction. Ask us to correct information that is inaccurate or incomplete.
- Deletion. Ask us to delete information where we no longer have a lawful reason to keep it.
- Restriction. Ask us to limit how we use your information while a concern is resolved.

- Portability. Receive certain information in a structured, commonly used, machine readable format.
- Withdraw consent. Where processing is based on consent, withdraw it at any time without affecting prior processing.

To exercise any right, write to support@sovereign-noir.com. We will respond within 30 days, or sooner where the law requires it. We may need to verify your identity before acting.
